Prior to booking a trip with us, we kindly ask you to carefully review and fully understand the contents of the Terms and Conditions stated below. Reservation - To inquire about tour plans, please feel free to contact us by email, phone call, or by filling out our Tour Inquiry Form on our website. Once we receive your booking request, one of our expert travel consultants will work with you to design a travel plan tailored to your specific requirements and interests. We encourage open discussion and will work closely with you to refine and adjust the itinerary until it meets your needs and expectations.

We highly recommend that you make your tour reservation for Yangtze River Cruise and Mount Kailash tour at least 40 days prior to your intended travel date, while other tours can be reserved 30 days in advance. You can easily complete your booking by following these steps:

  1. Once you have decided to book a tour with us, we will send you a detailed Tour Agreement via email that outlines the itinerary, quotation, service terms, and booking terms and conditions. 
  2. Before proceeding, kindly review and sign the Tour Agreement and return it to us along with scanned pages through email. 
  3. Please note that a deposit amounting to 30% of your tour fee is required to confirm your booking, and the tour reservation will not be considered firm until the deposit is received. After making the deposit or balance transfer, please send us a copy of the transfer receipt via email.
  4. A travel confirmation, also known as a travel memo, will be sent to you 7-10 days before your tour starts. It contains important details such as a packing list, travel tips, e-tickets/cruise ticket receipt, hotel name, guide name, and contact phone number. We strongly recommend that you print out the travel confirmation letter to use as a voucher when starting your trip.

Important Note: Please be advised that all prices quoted are in Chinese Yuan (CNY). Quotes provided in other currencies are based on the current exchange rates and are therefore subject to slight fluctuations. However, the quoted value in CNY / RMB will remain unchanged.
 

Alteration of Itinerary - As part of our commitment to providing you with the best possible tour experience, we offer a free alteration service before the tour begins.

However, if the tour itinerary needs to be changed at the request of the client/s after booking, any extra charges or losses incurred as a result of such changes will be borne by the client/s.

WindhorseTour reserves the right to modify the tour itinerary due to changes in air schedule or surface transportation, and/or events beyond our control that make such modification necessary. In such cases, any increase or reduction in the tour cost will be calculated and charged accordingly.
 

Cancelation and Refunds - We would regret to learn that you have decided to cancel your trip with WindhorseTour. We understand that circumstances beyond your control may have compelled you to do so.

In the event of trip cancellation, we require the client to notify us via mail or message. Refund calculation will be based on the date and time the cancellation notice is received by us, following Beijing time. We guarantee that all refunds will be processed within 20 days upon receiving the cancellation notice.
 

We have updated our trip cancellation policy to accommodate for post-COVID-19 circumstances. You can now enjoy a 100% refund on any payments made to WindhorseTour up to 3 weeks before your departure date. The cancellation fee will be calculated accordingly as below, unless otherwise specified by your travel advisor.

The cancelation fee will be a certain percentage of the tour price:

  • Cancellation received 22 days or more before departure: 100% refund of all monies paid. 
  • Cancellation received from 8 to 21 days before departure: 30% refund of all monies paid.
  • Cancellation received from 3 to 7 days before departure: 50% refund of all monies paid.
  • Cancellation received from 2 days or less, or no show -- 100% of the tour cost 
  • After the trip has commenced, no refund will be given for unused services due to unwillingness/inability to participate, early departure, late arrival, or missed days on tours.

In the event that we have to cancel the tour due to circumstances beyond our control, such as weather, political upheavals, or issues with transportation companies, we will strive to find an alternative tour option for the clients or provide a refund. A full refund will generally be issued, except in cases where third-party fees are incurred, such as those from cruise operators, airlines, and hotels. These fees will be deducted from the payment made to us, and your travel advisor will provide a detailed list of incurred fees. Please be advised that any bank or PayPal charges incurred during the refund process will be deducted from the refund amount and borne by the client/s.

Special note: Please note that the terms and conditions for tour cancellations involving more than 10 people may vary case-by-case. Kindly consult your travel advisor for information about the cancellation policy for groups of over 10 people.
 

Tour Operator's Responsibility - WindhorseTour is an inbound travel branch office of Chengdu Friendship International Travel Service, with a license number of L-SC-A00089. 
 

WindhorseTour provides tour information for China tour bookings. WindhorseTour publish travel information and services gathered from selected quality hotels, air ticket agencies, and tour companies/operators. We will not be responsible for any errors, emissions, or inaccuracies in information provided by third-party providers. 
 

WindhorseTour shall not be liable for any wrongful or negligent or fraudulent, omissions, changes of itinerary, cancellation, or failure of any equipment operated by those suppliers, or any other party not directly owned or controlled by WindhorseTour.

WindhorseTour shall not be responsible for any loss, injury, or damage to person or property, alteration of itineraries or cancellation in part or in full, caused by climatic conditions, sea fire, breakdown of machinery or equipment, acts of government or other authorities, wars whether or not declared, civil disturbances, strikes, riots, thefts, epidemics, quarantines, medical or customs regulations, terrorist activities, or any other actions, omissions or conditions beyond WindhorseTour control. WindhorseTour shall not be or become liable or responsible for any additional expenses of liability sustained or incurred by the tour member as a result of any of the aforementioned causes. 

WindhorseTour is not responsible for any client's failure to comply with customs regulations.

WindhorseTour is not responsible for the theft or loss of any customer’s valuables or items of personal property due to the negligence of the customer. 

WindhorseTour reserve the right to substitute hotels, flights, trains, or cruise ships, to alter itineraries, or to cancel the tour prior to departure. If WindhorseTour has cancelled any tour before commencement, we shall refund the full amount received from the client. 
 

For any unauthorized extra services beyond our confirmed itinerary that are requested by the client from the local agent, guide, or driver in other cities, WindhorseTour will not be responsible for any losses incurred. Although we will make every effort to assist, including seeking compensation if any damages or losses occur. Our primary goal is to provide an exceptional experience to all clients in our care.

 

Many of WindhorseTour tour packages include activities that require care and attention. Such activities include boarding and going ashore from boats, climbing hills, entering and exiting tombs and caves, etc. You will receive help and advice from our representatives, but all activities are undertaken at your own risk. WindhorseTour, its employees and agents cannot be responsible for any action or event that occurs after its said employees and agents have exercised their duty and taken the necessary care. 
 

Health Requirements - Clients are advised to take international travel risks into account and acquaint themselves with health requirements that apply to the regions they plan to visit. It is the sole responsibility of clients to examine the safety and security conditions, as well as vaccination and other healthcare requirements of the countries they visit or transit. The Department of Health or medical practitioners can provide current healthcare requirements and recommendations.

We highly recommend that travelers check their fitness levels and blood pressure and heart condition before traveling to Tibet. Those who have had a heart attack, pulmonary disease, or hypertension are advised not to enter Tibet.

Insurance & Travel documents- As a precautionary measure, we highly recommend that you purchase travel insurance that offers comprehensive coverage for a wide range of unforeseen circumstances, such as baggage damage, flight cancellations, and delays before your departure from your country.

- Please ensure that you possess a valid passport and required visa prior to departure. We recommend checking and following the visa policies of your intended country of visit at the nearest embassy or consulate.
 

Luggage Allowance - In accordance with regulations of the General Administration of Civil Aviation of China, the free baggage allowance within China is 20 kg. (44 lb.) for the economy-class, 30 kg. (66 lb.) for the business-class, and 40 kg for the first-class, plus limited carry-on luggage.

Excess baggage charges are the sole responsibility of the client. Regulations within China specify that all suitcases must have a locking device attached. Failure to follow this regulation may result in refusal by airport staff to load suitcases onto the aircraft.
 

Complaints -  If you're unsatisfied with any services provided by WindhorseTour, please notify your local tour guide or travel consultant immediately to avoid similar issues happening before or during your trip. If you wish to submit a complaint or claim for compensation, you must notify us in writing by email upon completion of your tour. Please make sure to attach any relevant receipts and substantiating evidence to the letter of claim. Any claims made after 15 days of completing your tour will not be considered by WindhorseTour
